
We're searching for a highly organized scheduling coordinator to manage one of our senior managers' calendars. Setting up appointments, coordinating travel arrangements, and informing participants of rescheduled or canceled meetings in a timely manner are all responsibilities of this position.
Responsibilities:
● Keeping track of timetables, calendars, and agendas
● Verifying in-house and external participants' availability for scheduled meetings
● Confirming appointments and setting up meeting locations
● Reminding people of upcoming meetings
● Meetings should be rescheduled or canceled as soon as possible
● Managing and verifying travel arrangements and bookings
● Keeping all stakeholders up to date on project timelines and deadlines
● Email and phone responses to scheduling inquiries
● Maintaining records and documenting scheduling processes
● When necessary, do other administrative chores
Requirements:
● GED or high school diploma
● A bachelor's or associate's degree in business administration or a similar subject is preferred
● A minimum of two years in a similar position
● Advanced understanding of scheduling software
● Advanced knowledge of appointment confirmation and rescheduling, as well as recordkeeping procedures
● Managing travel bookings and arrangements experience
● Advanced ability to update stakeholders on schedule changes and respond to questions
● The ability to schedule meetings around venue availability
